    VisualTax has pioneered the evolution of the Tax Preparation business by introducing the ‘Virtual Tax Office’. It is a collection of technological innovations that aim at reducing the need for the physical person-to-person meetings, while maintaining a military grade security and privacy of the tax payer’s tax records and documents.

    You can use your own business name, change colors, use your own image for background, use your logo image, change the banner wording, your link to your web site, and so on.

    The Virtual Office Tower accommodates several thousands of virtual offices and it is managed by Microsophic Inc. known for its VisualTax software. Keep your current brick and mortar office but also reserve a new ‘virtual’ office on the sky. Your benefits and your client’s benefits will last beyond Covid-19. Also it will cost you betwen 30 to a 100 times less than your brick and mortar office.

    The Virtual Tax Office is not just a e-signature piece of software. Aside from its unique e-signature capabilities, it is primarily a business model utilizing a full blown Virtual Office, equipped with all the modern amenities to conduct efficient, effortless, productive and pleasant virtual business meetings. Time savings, cost savings and easy collaboration between service providers and their clients are its main long term objectives. This of course is beyond its current protection from Covid-19.

    The Virtual Tax Office from the Tax Payer point of view:

      Each Tax Payer will be assigned a unique Virtual Client Id.

    1. The Tax Payer will be given a FREE program to download that allows him to do the following:
    2. The Tax Payer will be able to decrypt the highly secured files send to him by his Tax Preparer.
    3. Sign the documents requiring signatures automatically without having to drag their signatures into them
    4. View the tax return forms if the Tax Preparer sends him his tax return in encrypted form.
    5. During a virtual meeting, such as the one with Teamviewer, they are both able to see the same tax forms, regardless of who connected to whom. Example, the TaxPreparer connects to the machine of his client and they discuss and go over the tax forms.
    6. The Tax Payer cannot do the above unless he chooses a Tax Preparer who is a Virtual Tax Office registered user. The Tax Preparer needs to give him his Virtual Office id by Email or Phone.
    7. Microsophic provides the Tax Preparers also a facility to Register their clients automatically with a temporary password send by mass Email to them, as long as they have an Email. After that, his clients can change the Password via an online URL connection.
    8. The Tax Payer is given FREE use of several virtual facilities, except the vtScan. One such free facility is his ability to decrypt files sent to him by the Tax Preparer or Encrypt his own files sent to his Tax Preparer. The vtCourier will ensure bi-directional security and privacy of tax records, whether tax data are sent from the Tax Preparer to the Tax Payer or from the Tax Payer to the Tax Preparer.
      The vtScan facility in combination with the Client Documents will help the Tax Payer not only create his e-signature but also organize year-by-year all his tax records in a single and easily accessible folder on his computer.       Neither Tax Preparer nor Tax payer need to set and remember any passwords involved during send and receive.

      The Virtual Tax Office from a Tax Preparer point of view

      As a tax preparer you will be getting the following:

      1. A Virtual Office Id that you can even add to your Business Card and your Web site if you have one. This Id identifies the unit you occupy in our Virtual Tax Office Tower. For a small fee you can reserve an 'elite' unit on the very top floor of the tower or other memorable id of your choice. Please Email us your request or call us.
      2. Tools to link your clients to your Virtual Office Id You will be given tools to announce your new virtual Tax Office Id to all your clients via Mass Email if you have their Email address. This 'binds' your clients to your office and the risk of losing becomes far less in these uncertain times. This is an important aspect that should not be overlooked and it is part of the Client Relationship Management we mention later. Mass Emails, easy virtual meetings, etc.
      3. Set and manage appointments with your virtual clients
      4. Virtual meetings with your clients The Virtual Tax Office is not just a e-signature service that some competitors or third party companies want to charge you $500 or more! In addition to our unique vtSignature method, it is mainly a full blown Virtual Office, equipped with all the facilities to conduct efficient and very productive virtual meetings. If you like, you may even turn on some soft music of your choice, but sorry: no candies, coffee and donuts... They are not good for your heart anyway... You may also be able to choose your own office colours... We will be... renovating the Virtual Offices a bit later!. You can easily engage tools like TeamViewer, UltraViewer, Zoom, etc. to have virtual business meetings with your clients.
      5. Tax return review both ways Show and discuss your client's actual tax return, regardless if he connects to you or you connect to him!
      6. vtCourier encrypted messages and files: Send encrypted and highly secured files employing the highest security method available, as it is currently used by the military and the banks. This can include a signed or unsigned T183 or other tax related PDF files for signatures or review. Neither one, the Tax Office nor Client need to set or know the password used for the secure file exchange.
      7. Abilty to expand your business across all provinces As a Virtual Tax Office you will be able to attract new clients from any place. You can even promote yourself via the Virtual Tax Office Tower. Potential new clients can find you by Name, Email, Postal Code, or Virtual Office number. As an option, you can allow potential new clients to send you Request for Quote and send you a checklist of what their tax return contain.
      8. Ability to use many vital functions of a Contacts Management or Client Relationship Management (CRM) software. Otherwise you would need to purchase and spent several hunderds dollars for such software.

    Virtual Office Functional Details


    There are two separate components that make up the Virtual operations:

    a. Registration process: This allows anybody to Register as a Virtual Office occupant (such as a Tax Preparer) and he is given his Virtual Office Tower access card, consisting of: A Virtual Office Id (i.e. VOxxxxxx) and a Password. Virtual Office clients are given an ID starting with VC such as VCxxxxxx)

    b. Once you have your credentials, you can use the Virtual Office facilities offered via the T1 program, as described below.


    Your T1 software contains Virtual Tax Office item in main menu. If you are not logged in Virtual Tax Office service, this menu will contain only Login item.

    After successful login Virtual Tax Office menu will contain the following items

    New items introduced lately. No need for tax payer to download any program

  • Request Signature This invites your client to sent you his/her signature without your client having to download any program. It is all online and it can be done with the cell phone of your client. Once he does, you will be informed by Email that it was done. Just click Accept Signature and all forms will be automatically signed by your Virtual Office functionality.
    This applies to ALL forms requiring signature (such as T183, Consent, AuthRep, Pension Split, Discounter RC71, etc), even if the tax return is a Paper-Filed return that requires several signatures.
  • Create PDF for signing (Planned for release late April, 2021) This allows you to create a PDF format of a tax form (such as T183, Consent, AuthRep, etc), that you can send to your client to sign without your client having to download any program. It is all online.
    In the prior version of the program your client had to download the vtSignPdf program to do it.

    Register current client to my Virtual Office You need to open return first and make sure that the Email is entered in Personal edit box
    After that program will check if there is no payer with the same email and if there is no such payer, program will register it, generate temporary password and send email with invitation to this payer.

    Mass registration

    Mass Registration by Email is scheduled to be released towards the end of January. You will be notified via the T1 Login screen of the VT-2020 program of the exact date. The Mass Registration creates the Virtual Id (VCxxxxxx) and a temporary Password for each of your clients and associates each of them with your Tax Office so they are ready to communicate or have a virtual meeting with you.

    This item shows the following form

    This form will show all payers with email. After you press Register, the program will try to register payers one by one. If the registration is successful, the tax payer Virtual Id will be shown in the Result column. If some payer are already registered, program will show “Already registered” in the Result column. This means that you can run Mass Registration several times and it won’t create any duplicates, as only new payers will be registered. Each registered payer will receive the same invitation email as in Single Registration

    Send files and message to Virtual Client Invokes vtCourier form. You need to open a return and the program will try to find the Email of your Virtual Client.
    You can attach files to to files list box on the right hand box and / or the raw tax return from your data directory. If you choose Encrypt files, all files will be encrypted and your client will need to decrypt them. Also you can send files without encryption. If you choose Encrypt files, you can also encrypt Email message (you need to check Transmit the textual message as encrypted file)
    Also you can decrypt files that you received from the current client. Note that if you will try to decrypt files from another payer, the program will not decrypt them. You need to open the tax return of a specific payer and decrypt files from the current tax payer only.

    Change Password Allows you to change your Virtual Office password
